  • SILENT SHOW / NOISE

    As every year, the Guitar Summit is a silent show where testing is only allowed with headphones. Loud testing is only possible for amplifiers in the designated test area on level -1 (Tube-Ampfinity & Bass-Ampfinity located in the Ella & Louis Live Jazz Club – can be accessed via level -1). On all other levels there will be test stations for free use. Demos at the booths are accordingly also only allowed with headphones.


     

  • MORE INFORMATION ABOUT THE EXHIBITION

    LEVEL -1

    New on level -1 is a Headphone Stage (Electric Stage 2), which, like the other workshop stages, offers a full-day programme.

     

     

     

     

      

    Another major change affects the Tube and Bass Ampfintiy, which is moving from its previous location in the Variohalle to the Ella & Louise Jazz Club. This can also be reached from level -1 and offers a cool atmosphere that will significantly enhance this part of the event. The Variohalle itself will now become an exhibition space and will be home to the ROCKANTENNE Stage, our streaming stage presented by our media partner ROCKANTENNE. Throughout the day, interviews with well-known artists and personalities from the MI industry will be moderated by both ROCKANTENNE and us and streamed live via our digital channels.

     

     

    The GITARRE & BASS and GUITAR SUMMIT stands are also located in the Variohalle. This is where the big visitor survey will take place, which will cause long queues and a lot of traffic on level -1 as soon as the show opens. The meet & greets and the Guitar Summit pedal hunt are also big visitor magnets.

    Last but not least, the atmosphere on level -1 will be further enhanced by an optimized lighting concept. All these activities will help to make level -1 a lively and interesting area with a constant stream of visitors.

     

    LEVEL 2

    After the announcement that the Acoustic Stage would once again be located in a separate room, the construction site on level 2, which is now unexpectedly taking longer to be finished, has caused us to face a new challenge. As a result, the plans have changed: the Acoustic Stage will once again be integrated into the exhibition and designed as a headphone stage. This year, the stage will be visually more clearly separated from the actual exhibition, but will still be a central part of Acoustic World. There will also be seating for visitors.

    Here you can find all information about workshop stages and their technical equipment. Please bring all instruments and amplifiers needed for the workshop yourself and take them back to the booth after the workshop. We assume no liability. There are no beamers and screens available in the workshop rooms.

    We would like to support all exhibitors who plan to launch products directly at Guitar Summit by sending a bundled press release to our media partners and the international press, and promoting them through our own channels with a bundled posting/newsletter.

    ATTENTION: Until you have received your set-up/dismantling wristband at the information counter, access is only possible via the main entrance (see exhibitor passes).

  • NOTES ON SET-UP AND DISMANTLING

    The Rosengarten is a congress center, not an exhibition hall! Therefore, we have limited delivery and unloading capabilities. The more exhibitors arrive at the same time, the longer and more uncomfortable the process becomes for everyone!

    To ensure a smooth setup and dismantling process, we kindly ask you to take into account the timing (see Service Manual).

    Deliveries and collections with vehicles/cars up to a height of 1.90 m must be made exclusively (for a fee) via the underground car park:

    • Stands on Level 1: Parkdeck A, entrance via Stresemannstraße or Tullastraße
    • Stands on Level 2: Parkdeck B, entrance via Stresemannstraße or Tullastraße

    Please follow the Guitar Summit setup signage on site. After parking, please take the elevator to Level -1 (Rosengarten Entrance). The personnel located on Level -1 will then transport you to your desired exhibition level. Further details on the setup and dismantling situation can be found in the Service Manual.

    Due to limited elevators, the dismantling on levels 1 and 2 can be somewhat time-consuming. Therefore, we recommend packing up your booth, grabbing a bite to eat, and then loading your vehicle and heading home. This can help to equalize the rush on the elevators and save you some stress. According to our experience, the situation usually calms down after 6:30 PM.

     

  • NOTES ON BOOTH BUILDUNG

    NOTES ON BOOTH BUILDUNG (APPLIES TO EVERYONE!)

    It is strictly prohibited to build beyond the assigned floor space or to alter the stand dimensions without authorization. Lighting fixtures and signs must not extend beyond the stand boundaries. Fixing anything to the hall walls, columns, or floors is not allowed.

    Every carpet (whether covering the entire stand or a Flokati rug in front of seating areas) must be glued down at the edges to prevent tripping hazards.

    Attaching promotional materials to the walls, columns, or other objects at the event venue is not permitted. The exhibitor will be held responsible for any damage resulting from non-compliance and will be billed accordingly.

    To avoid interfering with the sprinkler system, stands must always be open at the top.

  • EMPTY CONTAINERS & WASTE

    Empty containers must not be stored in the Rosengarten due to the risk of fire. If empties are not removed after notification, they will be collected and stored at the exhibitor’s expense. The same applies to waste left on site after the event (decorations, carpets, furniture, etc.). The cost of such storage and disposal is very high and will be passed 100% on to the exhibitor. We therefore recommend that you avoid this.

  • VENTILATION

    Ventilation is provided by the columns on the levels. If these are blocked by empty containers etc., air cannot circulate and the Rosengarten quickly heats up to 25-30 degrees Celsius. The booth plan is designed and measured so that this is not the case if all exhibitors only use their area. For this reason, materials that block the columns and thus the air conditioning will be collected and stored or disposed of at the exhibitor’s expense, as mentioned in the above point “Empty Containers & Waste”.

  • SET-UP TUBE-AMPFINITY & BASS-AMPFINITY

    DEADLINE 01. AUGUST 2024

    Another change affects the Tube and Bass Ampfintity, which is now moving from its previous location in the Variohalle to the Ella & Louise Jazz Club. This can also be reached from level -1 (basement) and offers a cool atmosphere that will significantly enhance this part of the event.

    The test area is handled by the company Musik Produktiv. The contact for information about the test area and its setup is Philipp Hüls.

    Guitars and basses for testing the amps will be provided by us. Please report to the test area for setup, where you will be assigned a place for your test equipment. Rollups etc. can be set up as well, but they have to fit on the 2x1m area per brand.

    ATTENTION: The test area is NOT a stand area. Demos, permanent playing and the like are prohibited. This is purely for visitors to test the equipment. The instructions of the staff in charge of the test area must be followed, even as an exhibitor.

     


     

5. LOGISTICS

  • DELIVERIES

    For space reasons, deliveries may only be made on set-up days and only by a forwarding agent (no DHL, no Hermes, no DPD, no GLS etc.). Further information on deliveries is available in the Service Manual.

  • PARKING

    Vehicles/passenger cars up to a height of 1.90 m can be parked continuously from set-up to dismantling in the underground car park of the Rosengarten. There are approximately 700 parking spaces available, so there is no assigned exhibitor parking. The daily rate is 16€. Please note that the vending machine only accepts cash.

    Vehicles with a height of over 1.90m can park in the industrial and commercial areas – e.g. Güterhallenstraße or Werfthallenstraße. Please note that these are public parking spaces and the Congress Center Rosengarten has no influence on their availability. Further information on parking is available in the Service Manual.

6. STAND SERVICES & ADDITIONAL OPTIONS

  • ADDITIONAL ORDERS

    We only provide the stand space, no walls or similar! Electricity, carpet and furniture could already be ordered via the registration form.

    Changes to the additional orders such as electricity, carpet etc. must be made here:

    CANCELLATION

    Your previous additional bookings can be found in your registration confirmation, which you received immediately after your registration. Changes on site are only possible with a 20% surcharge.

    PRICELIST ADDITIONAL EQUIPMENT

  • INTERNET

    There is free basic WLAN at the event location. This is sufficient for standard activities such as checking emails, social media posts, etc., but it is used by visitors and exhibitors alike and can therefore be slower on busy days. However, for processing inventory management systems, store orders, video uploads, etc., it is better to order premium WLAN (see additional orders) to ensure secure processing.

     

7. TICKETS & ACCESS

  • EXHIBITOR PASSES

    Each booth staff member must apply for an exhibitor pass individually. Exhibitor passes may only be requested for booth staff. The number of exhibitor passes is not limited per se, but must be in reasonable proportion to the size of the stand. The passes are free of charge. Guest tickets (see below) can be requested for guests.

    Your exhibitor pass will be sent to you by email after a positive check about two weeks before the event. This must be printed out and presented immediately upon arrival at the Rosengarten at the info counter on level 0 before the stand set-up in order to receive the set-up and dismanteling wristband, lanyard and passport cover. The sender is our ticketing service Rodrigue. Please also check your SPAM folder.

    Passes get sent out individually! That means it can take some time to receive all passes. If you are missing a pass, please wait 1-2 days after receiving the first one before starting a request for it.

    ATTENTION: Until you have received your set-up and dismanteling wristband, access is only possible via the main entrance.

  • GUEST TICKETS

    Deadline: August 30th, 2024

    The guest tickets (1-day tickets) will be sent to the exhibitor’s specified contact as PDF by e-mail after positive verification up to two weeks before the event, who can then pass them on to the relevant guests. The sender is our ticketing service Rodrigue. Please also check your SPAM folder if necessary.

    PLEASE NOTE: The guest tickets are 1-day tickets that can be redeemed on Friday, Saturday OR Sunday and are only valid for that day.

  • DEALER TICKETS

    We are offering dealers the opportunity to receive two free tickets to the Guitar Summit. If you know a dealer who is interested in the Guitar Summit or who you would like to invite, please send them this link to the dealer registration:

9. ACCOMMODATION & OTHER SERVICES

    If you haven’t booked a hotel yet, we recommend the Radisson Blu Hotel or the Leonardo Royal Hotel. All three are within walking distance. More hotels can be found here:

  • SCAMMER MAIL / PHISHING MAILS / SPAM

    Attention: Once again this year, scammers are contacting our exhibitors by email to sell exhibitor/hotel lists or similar as alleged Guitar Summit team members. These mails are spam and can be deleted and at best marked as spam.

    Information about the Guitar Summit comes exclusively from Nadine Fliss, Stephan Killermann, Frank Diesveld, Paul Misic or the official channels such as website or social media.
